Who we are

Nile Gourmet Spices operates this website. For anything in this policy, write to sales@nilegourmetspices.com.

What we collect, and where it comes from

• Contact and sample request forms: your name, email, company, country and phone if you give them, the product and volume you are interested in, and your message.
• Quote request form: the same details, plus any file you choose to attach (for example a specification). Attachments are stored privately on our server, outside the public website, and only our staff can open them.
• Newsletter sign-up: your email address and your consent.
• Live chat: your name, email, a phone number if you add one, the messages you and our team exchange, and the page you started from.
• Buyer portal and staff accounts: name, email, company, a securely hashed password (we never see the password itself), when you last signed in and were last active, and a log of actions taken in the account.
• Security records: your IP address is recorded briefly when you submit a form, send a chat message or look up a batch, so we can limit abuse. These records are deleted automatically after 24 hours.

We do not run analytics or advertising trackers, and we do not buy or sell contact data.

Why we hold it

To answer you, quote for you, and keep a record of what was agreed, and for buyer accounts, to give you access to your lots, documents and invoices. We keep enquiries and account records for as long as there is a commercial relationship, and for a reasonable period afterwards to meet accounting and export record obligations.

Marketing email

Asking us for a price is not the same as asking to join a mailing list. Our forms carry an opt-in box, unticked by default, and the newsletter form asks for your consent. Only if you give it are your name, company and email passed to Klaviyo, who send our email on our behalf. Every message carries an unsubscribe link, and unsubscribing is immediate.

Who else sees it

• Our website host (Hostinger) stores the website, the database and any attachments.
• Our email provider carries the notification we receive for each enquiry and chat, and any email we send you.
• Klaviyo holds contact details only for people who opted in to marketing.
• Google Fonts: our pages load their typefaces from Google, which means your browser requests them from Google's servers and Google receives your IP address as part of that request.

None of these parties may use your details for their own purposes. Some of them are based outside Uganda, the UK and the EU, so your details may be processed in other countries.

Cookies and browser storage

• ngs_session: set for every visitor. It protects our forms against forged submissions and, if you sign in, keeps you signed in. It is deleted when you close your browser.
• ngs_chat: set only if you start a live chat, so the conversation is still there when you come back. It lasts 30 days.
• Two small entries in your browser's local storage remember that you closed the cookie notice (ngs_cookie_ok_v1) and the newsletter prompt (ngs_nl_dismissed_v1). They never leave your device.

All of these are needed for the site to work as you asked. There are no analytics or advertising cookies.

Your rights

You can ask us what we hold about you, ask us to correct it, or ask us to delete it, and you can withdraw marketing consent at any time. Write to sales@nilegourmetspices.com and we will act on it. You may also complain to your national data protection authority (in Uganda, the Personal Data Protection Office; in the UK, the ICO; in the EU, your local supervisory authority).
